The Business
Atlantis Pool & Spa is a full service pool and spa, service and renovation company focused on both residential and commercial pools.
The Challenge
There were many challenges facing Atlantis when they approached Prodigy Accounting:
- Billing was always behind leaving customers waiting and stalling monthly cash flow.
- Consistent confusion arose during weekly payroll due to inaccurate recording of pool counts and lack of policies regarding pay and commissions.
- Inventory counts were sporadic and ineffective due to inconsistent count methods and non-existent reconciliations.
- Atlantis didn't ever know their true financial position at the end of the month, relying solely on the yearly tax figures produced by their CPA.
- Internal controls were weak, opening the door for possible fraud.
The Solution
Prodigy supplies each client with a bookkeeper and accountant. Atlantis’ daily transactions are handled by their Prodigy bookkeeper, and the monthly financials and analysis is handled by their Prodigy accountant. Atlantis is able to use their Prodigy accountant as a resource at the controller level whenever they need to.
Prodigy seamlessly performs the accounting services for Atlantis by utilizing it's online accounting system. All of the completed daily route sheets and service call forms are scanned at the end of the day, uploaded with a single click to Prodigy then processed by their Atlantis' bookkeeper; usually within 24 hours.
Inventory counts for larger service items are conducted monthly both in the warehouse and on individual trucks where applicable. Count sheets are then scanned and uploaded to Prodigy allowing for an accurate monthly financial position. A smaller inventory with tighter control is now possible providing a stronger monthly cash flow for the company.
Prodigy suggested and installed a new payroll system to eliminate weekly errors with pool counts and service call hours.

With strong accounting procedures in place with identified monthly reporting needs, Prodigy can now provide Atlantis with vital management information such as:
- Billable hours vs employee hours worked (employee productivity)
- Missed pool cleanings by month and employee
- Chemical usage per truck
